Email Send Proofing

The Send Email Proof feature enables users to send a test version of a personalized email - rendered using real contact data - to one or more recipients for review. This ensures your message looks and behaves exactly as expected before launching a live campaign.

Why Send an Email Proof?

  • Preview personalization and dynamic content using real contact values.
  • Confirm links, images, and merge tags behave correctly. 
  • Review the email in an actual email client (Outlook, Gmail, mobile, etc).
  • Share a realistic "sample email" (via View Online) with the internal teams such as customer support or stakeholders. 

Assigning Email Proof Recipients

Users with the Maintain Users permission can enable this permission for other users in their account. To do this:

  1. Open the General Settings menu and select Users.

     

  2. Click the Actions dropdown option next to the user you wish to update.

     

  3. Choose Manage Permissions from this menu.

     

  4. Under the Email section, select the box next to the Email Proof Receiver option.

    The permission will automatically be saved. 

Email Proof Sending Options

Quick Send Email Proof

Available in the Preview step of an email, this option is designed for fast, one-off testing using a single contact record. 

  1. In your selected email creative, click Continue through the steps until you reach the Preview tab.

     

  2. In the Preview As field at the bottom right side panel, select the list or sendable data table containing a contact to preview the email creative as. 

     

  3. Select a contact from the dropdown menu at the top of the email preview.

     

  4. Click the Send Email Proof icon (blue paper plane) next to this dropdown menu.

     

  5. Choose a user from the available Email Proof Recipients.

    Only users created in the account with the "Email Proof Receiver" permission enabled are eligible.

  6. Click Confirm.

     

The select Email Proof Recipient will receive a single email proof for the selected contact. 

Full Send Email Proof

This option provides advanced configuration options and is ideal for QA, approvals, and campaign reviews. 

  1. Access the Send Email Proof Page
    1. Continue through the email creative until you reach the Preview tab.
    2. Click Test Mailing button.
    3. Toggle from the Send Test tab to the Send Email Proof tab.
  2. Designate Email Proof Recipients
    1. Click the dropdown field under Send Email Proof Configuration > Recipients
    2. Select user(s).
  3. Optional Additional Configurations
    1. Test Prefix

      Add a custom prefix to the email's Subject Line. 

      Example: The prefix "Offers Test" would result in "[Offers Test 1] 

    2. Sender Domain

      Select a sender domain from the dropdown menu to send the email proof with. If left empty, the email proof will use the default email values configured in Client Settings.

  4. Select Seed Content

    Contacts to view a proofed email for can be added from a list, sendable data table (if enabled in your account), or All Contacts. 

    1. For List Selection
      1. Click the Select a List field and either navigate through your List folders or use the search bar to find the intended list.
      2. Click Save to add the list to the selection tool.
      3. To add contacts from this list to your Seed Content List, you may:
        1. Select contact(s) from the dropdown field.
        2. Search for contacts using the Advanced Search option. This function allows you to search for contacts in your list based on a value in a selected demographics (All Contacts) field.
          1. Distinct sample column: Once a field is selected, the system will populate one contact in your list for every unique value in that field.
          2. Search by field text: Once a column is selected, type in the field value you wish to search for. Click Search to populate any matching contacts. 
      4. Click Add next to each contact to include them in your Seed Content list, or choose Select All to include all contacts returned by your search.
    2. For Sendable Data Table Selection
      1. Click the Select a Table field and either navigate through your Data Table folders or use the search bar to find the intended data table.
      2. Click Save to add the table to the selection tool
      3. To add contacts from the data table to your Seed Content List, use one of the following search methods:
        1. Fuzzy match: loads contacts from the sendable data table (identified by the table's Recipient Key field).
        2. Advanced Search: this function allows you to search for contacts in your data table based on a value in a selected column.
          1. Distinct sample column: Once a column is selected, the system will populate one contact in your list for every unique value in the field.
          2. Search by field text: Once a column in selected, type the field value you wish to search for. Click Search to populate any matching contacts.
          3. Exact match: Add comma-separated email addresses; the system will check if the records are in the table and push them to your seed list.
      4. Click Add next to each contact to include them in your Seed Content list, or choose Select All to include all contacts returned by your search.
    3. For All Contacts Selection
      1. Insert email addresses, separated by a comma, in the Insert field and click Add.
    4. Added contacts will populate in the right-side panel. 

      To remove a contact, click the Trash icon next to the contact.

  5. Click Send Email Proof.
